Responsibilities:

Key Areas Activities Administration

  • Accountable for the export of finished product ensuring related customer service, brokerage and customs transaction compliance.
  • Maintaining compliance with in-county and international regulations governing each shipment, receipt and documentation of exported products.
  • Partnering with Warehouse, Quality, Intercompany Operations and Global Supply Chain when developing/creating transit handling process improvements.
  • Attend and participate in daily department huddles, to highlight work plan and accomplishments, share best practises, and resolve problems.
  • Prompt filing of all correspondence and documentation (electronic and hard copy) – As required, produce and maintain high quality export documentation in a timely manner to ensure smooth transit and receipt of goods in market.
  • SOP/Process Workflow maintenance and ensuring operational best practice in line with customer requirements.
  • Must develop and maintain an in-depth knowledge of the customer’s import requirements. – Ensure that account billing both internal and customer facing is carried out in a timely, accurate and complete manner.
  • Propose and execute Continuous Improvement ideas for the department within the framework of PGS’ Fundamental Value Proposition.
  • Takes initiative to involve others in completing work products and process improvements – Identifies problems and relevant issues with basic complexity in structured environment
  • Takes a broad perspective to solve problems, sometimes choosing among less obvious approaches to identify solutions.
  • Encourages collaboration and communication within the team and across work groups

Internal and External Customer Service

  • Respond promptly to all customer correspondence and queries to ensure customer satisfaction.
  • Support of Supply Chain Officers as required to maintain customer supply and response to export queries. Refer export complaints to the Compliance department and liaise with customer for return, replacement or credit of stock in a timely manner.
  • Collaborate with the site’s warehouse team and freight forwarders, to ensure that released products are promptly packed and dispatched to the market, in alignment with market requirements. Promptly communicate any significant changes in such to associated parties.
  • Maintain accurate shipping notes, order documentation and correspondence.
  • Raise Outbound Deliveries, shipping invoices and all associated export documentation to the logistics centres / markets as required, maintaining compliance with in-county and international regulations governing each shipment, receipt and documentation of exported products.
  • Liaise with Commercial department regarding product launches to ensure exportation actions are completed and launch targets are met.
  • Process sample requests as required. – Determine opportunities to reduce freight expenditure
